A 10% scheduling fee can be made at any time after receiving the preliminary proposal. Your date is not saved until I receive the scheduling fee. 8 weeks before your event 50% of your remaining total will be due as First Payment. The remaining 50%, full payment, is due 4 weeks prior to your event.
In the event of a date change, a new proposal and contract will be drafted by KoKeDaMa Flora, dependent upon date availability. A new 10% deposit will be due and all payment scheduling will be reset. All deposits are non- refundable, non-transferable. Date changes made after the first payment will result in a 250$ cancellation fee taken from the first payment regardless of date availability to reschedule. Date changes made after the final payment will result in forfeiture of the first payment. and a cancellation fee of 250$ depending on date availability to reschedule .
A cancelled contract is a termination initiated by the client between the payment of the deposit and the date of the event. All monies paid to KoKeDaMa Flora up to the point of cancellation are non refundable, non- transferable.
In the unfortunate event that your event is canceled due to ANY circumstances including but not limited to : event called off, date change, Act of God (car wreck, severe weather, death in family) within one month of event date, the client agrees to full responsibility of any remaining balance due to KoKeDaMa Flora and will pay in full by the originally scheduled date. Full payments are due four weeks prior to your event. Date changes made after the final payment will result in forfeiture of the first payment. and a rescheduling fee of 250$ regardless of date availability to reschedule .
Design and Creative Freedom
I am here to make sure your wishes are executed. KoKeDaMa Flora will follow what we have gone over in our meetings. What this means is execution of outlined designs is the only priority. The contract is complete and agreed upon signing, day of event requests will not be given any precedence. In addition, we have the right to make calls and last minute changes if necessary without consultation. For example, if the dahlias don’t travel well I have the right to substitute them.
KoKeDaMa Flora reserves the right to use images from your event for promotion, display, advertising, internet and publication. A review of images will be emailed prior to display, allowing for discussion of use, if specifically requested by you in writing prior to the event.
KoKeDaMa Flora reserves the right to utilize a personal professional photographer on site prior, during and after the event. KoKeDaMa Flora will use these photos for promotion, display, advertising, internet and publication.
Clients will ask photographers to send KoKeDaMa Flora a link to download images OR clients will ask photographers to speak directly to KoKeDaMa Flora.
Any communication post booking should be completed via email. KoKeDaMa Flora is committed to executing flawless events, markets and classes. Thursday - Saturdays I am creating for our upcoming events. Please allow additional response time during these days as we will provide the same level of service and commitment when your day comes!
KoKeDaMa Flora will work directly with any vendor you put in contact with. Displaying floral designs on rented tables, mounting installations on venue property or displaying on a dessert table is vendor overlap and can be confusing at set up. Providing name and contact info prior to the event can improve multi-vendor collaborations.
All designs are property of KoKeDaMa Flora. Copies of design proposals will not be given to the client until the contract is signed and deposit paid.
Credit and Social Media Posts
When posting an image from your event, please credit us for Floral Design, ie. Flowers x @Kokedamaflora.
All designs are approved upon acceptance. Whether you are picking up from my studio or I am on-site, the designs you receive in my presence are the final work, Any objections must be made within the moments of acceptance. Flowers are fleeting and the designs are given their seal of approval by you upon sight.
KoKeDaMa Flora Rights
KoKeDaMa Flora has the right at any time to stop working with the client if the relationship isn’t a good fit. Clients will not be reimbursed for any deposits or payments made. KoKeDaMa Flora has a no-tolerance bullying policy. KoKeDaMa Flora and its freelance artist team will be treated with respect by our clients at all times, before, during, and after your event.
By signing this agreement, the client agrees to all information stated above and to full responsibility for agreed upon service fees. Payments will be made on time and any foreseeable changes will be mutually agreed upon within 30 days of the event. Client also agrees that KoKeDaMa Flora is to have direct contact at any time necessary. Maintaining communication between both parties must be available at all times during the planning process. KoKeDaMa Flora has the right to cancel this contract at any time if we feel the contractual obligations are not being met. Florals and greenery are all perishable items and subject to varying and unpredictable circumstances. In the event that damaged or otherwise less than quality florals are received from wholesale the retail cost of replacement flowers, less wholesale refund, will be charged to the client.

Payment schedule , Date Changes , Cancelled Contracts and Refunds
A reduced the deposit from 25% to 10% to save the date and cover the cost of preparing your proposal.
This means turning down any and all other opportunities on or on the day(s) leading up to your wedding/event.
Adjusted payment schedule. First payment due 8 weeks prior to your event allows me to prepare the floral order and reserve your blooms.
The last payment at 4 weeks prior to your event provides for everything from floral conditioning, design work, transportation, tools, hard goods and delivery.
Making the payment schedule as close as possible to your wedding/event date allows for more flexibility.
A 90/60/30 day refund policy paired with my payment schedule is by far one of the most flexible. I want to work through these times with you.
Package Pricing and Proposal Process
In our first FREE consultation I will gather information about the size of your wedding party, the number of tables and your venue location. I will use this information, along with other details, to assign a package to your event. The 10% deposit will come from the complete package price, All adjustments will be made in the detailed proposal. All packages are itemized, all designs will be priced from your assigned package. Any adjustment to design pricing will be made in the detailed proposal.
